This policy explains what information Raphael Porcelain collects through raphaelp.com and our internal tools, what we do with it, and the choices you have. If you have a question about it, write to contact@raphaelp.com.

When you fill out a form on raphaelp.com (Contact us, Become a distributor, Warranty registration, a product inquiry or a quote request), we receive what you type in it: usually your name, email, phone, company, city and state, what kind of customer you are (for example a homeowner, designer or contractor), and your message or the details of your project or purchase.

When you subscribe to our newsletter, we receive your email and name, what kind of customer you are, and anything optional you choose to add (company, phone, city, state), together with the page you subscribed from.

We use this information to:

• answer your message, prepare your quote, send samples, or register your warranty;
• record you as a contact in our customer relationship system (Salesforce), so that the right person on our team can follow up with you;
• send you our newsletter and product news, only if you subscribed. Every newsletter has an unsubscribe link, and you can unsubscribe at any time.

Like most websites, raphaelp.com uses cookies and similar technologies:

• Google Analytics, to understand how visitors use the site (pages viewed, time on site, approximate location, device and browser). We see this information in aggregate; it does not tell us who you are.
• Google Ads, to measure whether our ads lead to visits and inquiries, and possibly to show our ads to people who visited our site. You can manage the ads Google shows you at adssettings.google.com, and opt out of Google Analytics with the browser add-on at tools.google.com/dlpage/gaoptout.
• Your saved designs (wishlist) are kept in a cookie in your own browser, without an account. We do not keep them in our records.

We do not sell your personal information. We share it only with the service providers that help us run our business, and only for that purpose:

• Salesforce, for our customer records and our newsletter;
• Google, for our company email, analytics and advertising;
• the providers that host and deliver our website and internal systems;
• Intuit (QuickBooks Online), for invoicing and accounting, as described below.

We may also disclose information when the law requires it, or to protect our rights or the safety of others.

Our staff use internal tools that sign in with their Raphael Porcelain Google accounts. With the access each authorized staff member grants, these tools use Google services for our own company accounts only: sending and organizing company email, storing and reading company files and spreadsheets, reading our website analytics and search performance, managing our business listings, and managing and reporting on our own Google Ads campaigns.

Information obtained from Google APIs is used only to provide these internal features to our staff. It is not sold, not used for advertising, not transferred to anyone except as needed to provide these features or as required by law, and not used to develop, improve or train generalized artificial intelligence or machine learning models.

Raphael Porcelain's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Our internal QuickBooks Online integration transfers our own sales records between our internal Salesforce system and our own QuickBooks Online accounting company. It is used only by our staff. There is no public interface, no sign-up, and no account for anyone outside Raphael Porcelain.

What it transfers. For each sales order, invoice or payment: the customer's name and billing address; the order or invoice reference and date; the amounts charged, including any electronic service fee and sales tax; and the amount and date of any payment received. Nothing else is transferred.

What it does not transfer. Payment card details: card payments are handled by our payment provider, and card numbers do not pass through our sales or accounting systems. Correspondence, contact history, notes, or anything else not needed to raise and settle an invoice.

What comes back. The integration records references only: the QuickBooks identifier for a customer, a product, or a document it has created. No financial figures and no contact details are copied back. These identifiers have no meaning outside our own QuickBooks account.

Who processes it. Intuit Inc., as the provider of QuickBooks Online, processes this information on our behalf so that we can invoice customers and keep our accounts. It is held in their systems under their terms and privacy notice. The integration does not send information to anyone else.

Why. We need to invoice customers, record what they have paid, and keep accurate accounting records. We are also required by law to keep records of the sales we make and the tax we collect.

We keep inquiries and customer records for as long as we have a business relationship with you or need them to answer you, and accounting records for as long as tax and company law require. Newsletter subscriptions are kept until you unsubscribe.

Access to our systems is limited to authorized staff, who sign in with their company accounts. Information is sent to and from our website over encrypted connections.

You can unsubscribe from our newsletter at any time with the link in any newsletter. You can also ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete information we are no longer required to keep, by writing to contact@raphaelp.com. We will respond within a reasonable time.

Our website and services are intended for adults and businesses. We do not knowingly collect information from children under 16.

If we change this policy, we will publish the new version on this page and update the date above.
