What this notice covers
This notice describes how our internal QuickBooks Online integration handles information. It covers that integration only.
The integration transfers our own sales records between our internal Salesforce system and our own QuickBooks Online accounting company. It is used only by our staff. There is no public interface, no sign-up, and no account for anyone outside Raphael Porcelain.

What the integration transfers
For each sales order, invoice or payment, the integration transfers from our internal system to our QuickBooks Online account:
the customer’s name and billing address
the order or invoice reference and date
the amounts charged, including any electronic service fee and sales tax
the amount and date of any payment received
Nothing else is transferred.
What it does not transfer
Payment card details. Card payments are handled by our payment provider. Card numbers do not pass through our sales or accounting systems and are not transferred by this integration.
Correspondence, contact history, notes, or anything else not needed to raise and settle an invoice.
What comes back
The integration records references only — the QuickBooks identifier for a customer, a product, or a document it has created. No financial figures and no contact details are copied back. These
identifiers have no meaning outside our own QuickBooks account.
Who processes the information
Intuit Inc., as the provider of QuickBooks Online, processes this information on our behalf so that we can invoice customers and keep our accounts. It is held in their systems under their terms and privacy notice.
The integration does not send information to anyone else. It runs entirely within our own Salesforce system and connects only to our own QuickBooks account.
Why we do this
We need to invoice customers, record what they have paid, and keep accurate accounting records. We are also required by law to keep records of the sales we make and the tax we collect.
How long the information is kept
Accounting records are kept for as long as we are required to keep them for tax and company law purposes.
Business customers and individuals
Most of our customers are businesses, and information about a company is not personal information. Where a customer is an individual or a sole trader, their name and address are personal information and are handled as set out above.
Your rights
You may ask us for a copy of the information we hold about you, ask us to correct anything that is wrong, or ask us to delete information we are no longer required to keep. Contact order@raphaelp.com and we will respond.
